Terms & COnditions

Introduction

The following Terms & Conditions apply to all La Jolla Music LLC Summer Camps and are made between La Jolla Music LLC (“LJM”) and the student and/or the student’s parent or legal guardian (“Parent/Guardian”).

Submission of a camp registration form and/or payment of tuition constitutes acceptance of these Terms & Conditions.

Communication

All camp correspondence will be sent to the primary contact person by phone and/or email. Parents/Guardians are encouraged to communicate with LJM using phone or email whenever possible.

Submission of a registration form does not guarantee placement until tuition payment has been received and confirmed.

Camp enrollment is processed on a first-come, first-served basis. If a camp reaches capacity, students may be placed on a waitlist.

LJM reserves the right to cancel, combine, reschedule, or modify camps due to low enrollment, instructor illness, facility issues, or other circumstances beyond its control. In the unlikely event that LJM cancels a camp, families will be notified as soon as reasonably possible and will receive a full refund of camp tuition paid.

It is the responsibility of the Parent/Guardian to notify LJM of any changes to contact information, emergency contacts, medical information, or authorized pickup persons. LJM is not responsible for missed communications resulting from outdated or incorrect information.

By submitting registration materials, the Parent/Guardian confirms that they have the legal authority to register the student and agree to these Terms & Conditions on the student’s behalf.

Camp Fees & Payment Policies

Camp Tuition

Camp tuition varies by camp and is listed individually on each camp webpage and registration form. Tuition must be paid in full in order to reserve a student’s place in camp.

Submission of a registration form alone does not guarantee enrollment until payment has been received.

Refund & Cancellation Policy

Cancellations made at least forty-five (45) days prior to the first day of camp are eligible for a full refund.

Cancellations made fewer than forty-five (45) days before the first day of camp may only be refunded if another student enrolls and fills the cancelled student’s spot.

No refunds, credits, make-up days, or prorated tuition will be given for:

  • missed camp days,

  • illness,

  • schedule conflicts,

  • voluntary withdrawal,

  • no-shows,

  • or dismissal due to behavioral issues.

If LJM must cancel a camp for any reason, families will receive a full refund of tuition paid.

All account and tuition-related terms previously agreed to through enrollment with La Jolla Music LLC remain enforceable under this agreement.

Attendance, Arrival & Pickup

Parents/Guardians are responsible for ensuring timely drop-off and pickup of students.

Students may only be released to authorized individuals listed on the registration form unless alternate arrangements are communicated in writing.

LJM reserves the right to charge late pickup fees for repeated or excessive late pickups.

If a student leaves camp early due to illness, behavior concerns, or injury, the Parent/Guardian agrees to arrange prompt pickup.

Health & Safety

The Parent/Guardian agrees not to bring a student to camp if the student is exhibiting symptoms of contagious illness, including but not limited to fever, vomiting, diarrhea, rash, or other symptoms that may place other participants or staff at risk.

The Parent/Guardian agrees to disclose any relevant medical conditions, allergies, behavioral concerns, learning accommodations, or other information necessary for the safe participation of the student.

LJM staff may administer basic first aid as appropriate. In the event of a medical emergency, the Parent/Guardian authorizes LJM staff to seek emergency medical treatment for the student if the Parent/Guardian cannot be reached. The Parent/Guardian accepts financial responsibility for any resulting medical expenses.

The Parent/Guardian acknowledges that participation in music camps and related activities involves inherent risks, including but not limited to physical activity, movement, outdoor exposure, use of equipment, and interaction with other participants.

The Parent/Guardian releases and holds harmless La Jolla Music LLC, its owners, employees, instructors, contractors, volunteers, and representatives from claims, liabilities, damages, injuries, losses, or expenses arising from participation in camp activities, except where prohibited by law.

Student Conduct & Behavioral Expectations

Students are expected to behave respectfully toward staff, fellow students, facilities, equipment, and property.

Bullying, aggressive behavior, repeated disruption, unsafe conduct, inappropriate language, harassment, or refusal to follow staff instructions may result in temporary removal from activities or dismissal from camp without refund.

If a student becomes a safety risk to themselves or others, LJM staff may use reasonable and appropriate physical intervention when necessary to maintain safety until a Parent/Guardian can be contacted.

The Parent/Guardian acknowledges financial responsibility for any intentional or negligent damage caused by the student to facilities, instruments, equipment, or property.

Media Release

Unless the Parent/Guardian submits a written opt-out request before the first day of camp, permission is granted for LJM to photograph, video record, and/or audio record the student during camp activities.

These materials may be used by LJM for educational, promotional, advertising, website, print, and social media purposes without compensation.

Personal Property

Students are responsible for their personal belongings. LJM is not responsible for lost, stolen, or damaged personal items brought to camp.

LJM recommends that valuable items remain at home unless specifically required for camp activities.

Camp Programming

Each camp session is a standalone program with unique activities, workshops, and curriculum. Students are welcome to enroll in multiple camp sessions where age eligibility permits.

Camp schedules, instructors, performances, activities, and curriculum are subject to reasonable change without prior notice.

Agreement

These Terms & Conditions are intended to create a fair and positive experience for all families, students, instructors, and staff at La Jolla Music LLC.

LJM values open communication and strives to approach each family and situation in good faith, professionalism, and mutual respect. By registering for camp, the Parent/Guardian acknowledges that they have read, understood, and agreed to these Terms & Conditions.
